Main responsibilities and tasks
Supply chain and purchases
- Guarantee that purchase procedures are respected, and supervise the purchasing process for the whole mission
- Supervise the identification and referencing of suppliers, guarantee the pre-qualification of the suppliers and their evaluation/review at least once every year
- Work in close collaboration with the log and program staff at field and capital level
- Support and help the program managers to prepare their procurement
- Ensure that contracts signed are adequate in terms of effectiveness and protection of INTERSOS interests
- Consolidate/update the mission’s price catalogue for the mission’s operation areas, ensure that purchase files are complete and correctly archived
Shipment
- Supervise the shipment and delivery of materials up to their final destination
- Coordinates with the logistical department at HQ for the shipment of merchandise coming from abroad and supervises the potential process involved with clearing customs
- Stock management
- Guarantee the management and monitoring of the mission’s stock, according to INTERSOS procedures and tools
- Ensure that stocking sites are appropriate to the mission’s needs and that merchandise is stocked appropriately in terms of location, layout and salubriousness
- Supervise fluxes of merchandise, makes sure that the goods received are conform and recorded
- Ensure the movement/transfer of documents is properly referenced, check stock reports on a monthly bases and perform physical inventories
Transportation/Fleet Management
- Compound Driver Timetable management, Fuel Management
- Booking Passenger Tickets and Extra Luggage
- Manage Cargo shipment and Truck shipment
- Be the Log Cluster Focal Point
Asset Management
- Cars maintenance and logbooks, insurance documents management, compound maintenance
- Network monitoring (router devices, Wi-Fi password) and equipment monitoring - Laptop, Phone, Thuraya, VHF etc.
Staff Administration
- Compound staff management (Drivers and Guards)
- Expat immigration liaison (Work permit, Passport Registration, VISA renewal) and expat personal information management (Contact List, Blood type, Picture, etc.)
- Manage Handover and room plans
Security
- Support the Head of Mission in compound and guesthouse risk assessment
- Control local staff security procedures
- Manage the equipment security documentation (purchasing, transportation)
- Support the HoM in reviewing the security guidelines and CPP for all location and produce Standard Operating Procedures for the main Logistics domains
- Perform any other work-related duties if applicable
Education
- Relevant degree and/or equivalent Logistics working experience.
Professional experience
- Relevant working experience of at least 3 years and previous Humanitarian experience.

- Excellent organizational skills in highly complex emergency operation
- Able to ensure quick quality delivery in stressful environment
- Very strong interpersonal skills: strong communication and diplomatic skills
- Practical and problem-solver
- Excellent ability to establish inter-personal relations and good negotiation skills
Languages
- Proficient in written and spoken english and/ or french
