Job title: Logistic Coordinator

Location: based in Juba (with possible travel to field locations) – South Sudan

Reporting to: Head of Mission

Starting date: 1st of January 2016

Duration of contract: 12 months

2. General context of the mission

INTERSOS is present in South Sudan since 2006, starting its operations in the country from Bor, Jonglei State. INTERSOS central office for South Sudan is based in Juba with several field bases in Jonglei State (Bor, Pibor, Lankien, Yuai, Waat and Akobo), in Western Equatoria State (Yambio) since 2009, in Upper Nile State (Malakal) since 2011 and Unity State (Bentiu).

The main areas of intervention are Protection, in particular prevention and response to GBV and child protection in Upper Nile States and Jongley State, where INTERSOS is also GBV sub-cluster Focal Point and leading the GBV response in the State; Education, INTERSOS is one of the main partners of UNICEF in promoting education as a part of emergency response and leading the EiE Cluster in Jonglei, Unity and Upper Nile States, while acting as focal point agency in Jonglei for Education in Emergency interventions.; Shelter/NFIs, these activities involve the assessment and identification of new IDPs, mainly in the most hard-to-reach areas within Jonglei, Unity and Upper Nile States, emergency kit distribution, kit use monitoring and construction/rehabilitation of emergency shelter; WASH, mainly construction/rehabilitation of water facilities (e.g.: wells, pipe schemes), rehabilitation of latrines and sanitation/hygiene promotion.

The priority for INTERSOS in South Sudan is to be a relevant humanitarian actor with regard to the already massive and possibly increasing emergency and to do so the mission counts on about 20 international and 200 national staff.

3. Tasks and responsibilities

The Logistics Coordinator is responsible for all the logistics operations of the INTERSOS South Sudan Mission, including: the timely procurement of goods, the provision of transportation services, the careful and frequent recording of movements and changes. The Logistics Officer will work closely with program and administrative staff to ensure comprehensive reporting, support and assistance to all INTERSOS activities.

Specifically the Logistic Coordinator is responsible to:

Transportation

· Compound Driver Timetable management

· Booking Passenger Ticket and Extra Luggage

· Manage Cargo shipment

· Casual Worker management (up/off loading)

· Manage Truck shipment

· Transportation Coordination and Optimization

· Log Cluster Focal Point (Logistics Coordinator)

Asset Management

· Cars maintenance and logbooks, insurance documents management

· Compound maintenance (water, sewage, fence, power generator, solar system)

· Fuel management

· Equipments – Laptop, Phone, Thuraya, VHF etc … (reparation management, stocking, inventory registry)

· Materials stocking, inventory registry, warehouse in/out movements

· Warehouses management

· Networking monitoring (router devices, Wi-Fi password)

Staff Administration

· Compound staff management (Drivers, Cleaners, Guards)

· Asset Assignment management (Laptop, Phone, Thuraya, ID card, …)

· Expat immigration liaison (Work permit, Passport Registration, VISA renewal)

· Expat personal information management (Contact List, Blood type, Picture, … )

· Handover management (Data backup, email folder backup)

· Compound room plan management

Security

· Support to Head of Mission in compound and guesthouse risk assessment

· Local staff (cleaners, guards, drivers) security procedures control

· Equipment security documentation (purchasing, transportation) management

· Contact List updating, control and publishing

· Daily check field staff monitoring

4. Required profile/experience

· Education: Relevant degree and/or equivalent Logistics working experience.

· Experience: Relevant working experience of at least 3 years and previous Humanitarian experience.

· Strategic vision, leadership, people management, teamwork and

  • Flexibility, ability to work under pressure in a highly complex emergency context
  • Excellent organizational skills in highly complex emergency operation
  • Able to ensure quick quality delivery in stressful environment
  • Very strong interpersonal skills: strong communication and diplomatic skills
  • Practical and problem-solver
  • Excellent ability to establish inter-personal relations and good negotiation skills
  • Good knowledge of MS Office (Word, Excel, Outlook)

· Fully proficient in written and spoken English

· Arabic language skills will be considered as an asset

· Ability to deal with stress and demanding working environment

· Readiness to commit and adhere to the values, mission and vision of INTERSOS
